14.26 Add-on Module Updates

Add-on modules offer additional functions to the core functions of the Learning Suite and must be ordered separately. These modules are activated via a license update and/or an architecture extension.

The add-on and extension module updates are listed below by category:

Certified Credit Management

Certification Set Panel Re-Design

Overview: The Certifications (178) and Certification Set (183) panels have been re-designed using the REACT framework. The general functionality of the panels remains unchanged, but the designs have been updated with a modernised look.

Benefits and Use Cases: Learners and Managers will benefit from improved designs and enhanced safety. This also technically allows internal dashboards containing these panels to utilise the updated React design if all other assigned panels are supported.

Audience: Learners

Setup & Access: The panels are updated automatically with a without migration. To enable the REACT versions of the panel requires editing an internal dashboard page, enabling the Opt-in for the new dashboard & panel design checkbox, and assigning the panel/s in the Contents tab.

Considerations & Limitations: Requires the Certifications add-on licence and Kubernetes architecture. If any panel assigned to the dashboard has the New design support column as No, then the old certification panel design will still display.

Testing: Edit an internal dashboard page, tick the Opt-in for the new dashboard & panel design checkbox, and add the Certifications panel/s in the Contents tab. It can be seen that the panels have been updated when the New design support column shows Yes.

Warning of Unfulfilled Certifications in Previous Period

Overview: This update is to provide Learners and their Supervisors with visual warnings regarding previously unfulfilled certifications. In the current certification period, it can now be easily identified on the dashboard if the certification was not achieved in the previous period (the current period -1). The new warning is possible for both Certifications and Certification sets that can be activated/deactivated per Certification. The warning is clearly recognisable with a red icon and tooltip text; the latter configurable via the System texts function.

Previously the Certification (set) dashboard only showed the current certification period. Learning successes of the previous period were only visible via accessing the certification history. This meant that Learners and their Supervisors could not easily see whether the Certification (set) target of the previous period was achieved or not.

Benefits and Use Cases: Employees and their Supervisors are informed of unfulfilled certification periods that require urgent action. This will enable actions to be during the grace period and provide better understanding of reasoning when qualifications are lost.

Audience: Certified Learners and Supervisors

Setup & Access: A new checkbox setting has been automatically added to Certifications in an unticked state. This can be ticked for each individual Certification to enable the warning message.

The tooltip text can be changed in the System texts function by editing the UnfulfilledCertificationPreviousPeriod bundle and activating the wording change.

Considerations & Limitations: Requires the Certifications add-on module licence. The definition and display of the Grace period is not part of the scope.

Testing: Requires the Certifications function to be active and at least one certification period to have been completed. Firstly, as an administrator edit a Certification to enable the new warning. Learners will see changes in the My competencies function and the Certifications panel for dashboards. Supervisors will see changes in the My staff function Competency profile view Certifications tabs. If the previous certification was not fulfilled the warning icon will be displayed.

Channels

New Channels App (Cont.)

Overview: A new App has been developed specifically for Channels that will be available from 26.1 for both iOS and Android devices. The App is ideal for learners who want to continue their development beyond the desktop; For example, during commutes, breaks, or in moments between tasks. The app will display the learners' feed and option to explore channels; essentially the same functionality set as within the browser and platform wide search (in Channels context).

Like the IMC Learning app, after login the Channels App branding will update. This includes inherited the customer system theme, logos, fonts and default images (same as shown in the LMS).

Benefits and Use Cases: Learners will receive seamless access to existing channel content optimised for mobile and tablet display formats. The app provides learners with additionally flexibility to learn whenever and wherever it fits best into their day.

Audience: Learners

Setup & Access: Providing that the LMS has an active Channels license and Channels is configured, the learners only need to download the app. Dependent on their mobile device or tablet, learners will either need to download the App from the Apple or Google app stores by searching for either “imc, channels, learning, mobile learning, and learning suite”. With regard to authentication, the configured method of the LMS is read and displayed.

Considerations & Limitations: Requires the Channels add-on license. The app will be available in the respective apps stores from patch IP26.1.0. Once downloaded, learners will need to enter their system URL manually the first time. After first login the branding will be inherited from the linked system.

Testing: First requires that the Channels add-on licence is activated and the Channels function is configured. Each user can then download the App to their device via the respective App stores. The App can be found by searching for terms including “imc”, “channels”, “learning”, “mobile learning”, or “learning suite”. Once downloaded, the system URL will need to entered manually and then sign-in can occur.

On-the-Job Training

Locking OJT Submission upon Status Change

Overview: New configuration options have been introduced at the On-the-Job Training (OJT) Task level to Lock learner and mentor submissions. When enabled, previously submitted attachments and feedback are preserved and can not be edited or removed once locked upon status change. New submissions made after the task is reopened remain editable/removable until also locked.

Benefits and Use Cases: Supports traceability and integrity of submitted assessment data for audit purposes by preventing removal or modification of prior submissions.

Audience: Learners, Mentors and OJT Assessors

Setup & Access: The new checkbox fields will be available automatically in existing On-the-job training tasks and unticked by default. If feedbacks are locked, more than one feedback can be added as locked feedbacks need to stay non-editable. Check the settings at the OJT task level:

  • Lock staff member feedback

  • Lock mentor feedback

  • Lock staff member attachments

  • Lock mentor attachments

Considerations & Limitations: Requires the On-the-job Training add-on licence. Feedback notifications show the feedback that triggered the feedback, but not all feedbacks (similar to attachment notification). Task Logs are not part of this locking.

Testing: Open the On-the-job training tasks function and edit an existing task. The new Lock checkbox fields will be available in the Feedback section and Attachments section.

Skills & Competencies

Optional Skill Design Update

Overview: The Skill display for Learners and Supervisors has been updated to better distinguish mandatory skills from optional skills within Job profiles. This includes an option to hide the target levels of optional skills.

Benefits and Use Cases: The Skills within Job profiles can be set as 'Not required' which makes them optional for the learner to achieve. Better distinguishing the mandatory skills/levels from the optional skills/levels will provide learners with a better understanding of which skills to focus on achieving first.

Audience: Learners and Supervisors

Setup & Access: Not required for the skill update which will be applied automatically applied. The ability to hide the target levels of optional skills though will require a support request and a design parameter update.

Considerations & Limitations: Requires the Skills and Competencies add-on licence

Testing: Create a Job profile that contains both required and optional skills. Assign the job profile to a user and view their Competency profile in the My staff function.

Default Skill ‘Confirmation Mode’ Update

Overview: An update has been made to the Configuration manager Skill management function in the Skill confirmation mode field. The update is to ensure the default options that can be defined match the possibilities in the equivalent Confirmation mode field when creating a skill. Prior to this update only three default confirmation modes could be selected including None, Inactive and Active; as the fourth Confirmation by completing a learning activity confirmation mode was missing. The update now sees the options displayed identically including text descriptions.

Benefits and Use Cases: Administrators will be able to set default confirmation modes for Skills and Job profiles with the same possibilities as when creating the objects. Defining the most appropriate default will save time and help ensure the most desired confirmation mode is set by default.

Audience: Skill administrators and System administrators

Setup & Access: No configuration required as changes occur automatically. The default Skill confirmation mode in the Skill management function can now be changed to ‘Confirmed by completion of learning activity’ if desired.

Considerations & Limitations: Requires the licenced Skills and competencies add-on module

Testing: To view the updates access the Configuration manager and edit the Skills management function. It can be seen that the Skill confirmation mode field values now match the equivalent Confirmation mode field when creating a Skill.
