Certifications in the imc Learning Suite represent accredited training certifications, such as CPE/CPD or IDD, for which learners collect a minimum number of points or hours within a set period. This guide describes how to create a certification, link it to courses and learning paths, and assign it to staff members.
Prerequisites
The following prerequisites apply:
-
The "Certifications" licence has been purchased and activated by a Scheer IMC consultant or support agent.
-
The "Certifications" tab is enabled in the "Process complexity" tab of the course types and learning path types. Enabling it does not add the tab to existing courses, course templates and learning paths. For existing objects, a support ticket can clarify whether an update script is possible.
-
The competencies function in "Staff pool" is only available with the licence or the "Competency Management" add-on component.

Creating the Certification
Many settings of a certification can no longer be changed after saving. The "Grace period in days" can only be set when the certification is created. Select the right combination of settings before saving.
-
Open the "Certifications" function.
-
Click "New".
-
Set "Status" to "Active". Only active certifications can be selected throughout the system.
-
In "Duration in months", enter the period in which learners have to meet the requirements, for example 12.
-
In "Certification format", select whether progress is tracked through points or hours.
-
In "Minimum number of points / hours", enter the required value. Hours use the letter "h", optionally followed by two digits for minutes, for example 15h or 15h 30. The value 00 for minutes is not supported.
-
In "Start date", select "Individual start date" or "Common start date". The default is "None".
-
For a common start date, set "Day of the month" and "Month of the year".
-
In "Type of reset", select what happens at the end of the certification period: "Do not reset", "Always reset" or "Only reset if fulfilled".
-
If required, enter the "Grace period in days". During this period after the end of a certification period, certifications earned through course completion can still be assigned manually to the past period.
-
Enter a "Name" and a "Description". Both are visible to all users in all views.
-
Optionally, select "Show warning about unfulfilled certification of previous certification period".
-
Save the certification.

Showing Progress on the Dashboard (Optional)
-
Create a "Certifications" panel (ID 178).
-
In "Certification", select the certification. Each panel shows one certification.
-
In "Used for", select "Learner view" or "Manager view".
-
Add the panel to a dashboard page.
-
Select "Hide empty panel" so that only users with an assigned certification see the panel.
Details: Panel - Certifications.
Check the Result
-
Learners see their progress in the "Job profiles and skills" menu or in the "Certifications" panel.
-
Supervisors see the progress of their staff in the "My staff" menu via the "Competency profile".
-
The "Certification status" reports show the overall status of all users with assigned certifications.
-
The "History" tab in the details view of a certification lists events such as the start of the certification period and gained points or hours.
Hints & Tips
-
Make sure that points or hours are not awarded twice or three times. This can happen, for example, if a learning path, a course it contains and the media in that course all award points for the same certification.
-
If a minimum number of points or hours has to be reached across several areas, combine certifications into a certification set. A certification set only accepts certifications with a matching format, duration and assignment type. Assign it via "Add certification set" in the same menu.
-
Unlike skills, certifications have no standard import function for historical completion data.
-
To correct a running certification period, use "Edit history" in the context menu of the entry. "Move achieved points/hours" transfers points or hours to a different entry.
-
Supervisors cannot edit certifications that a staff member obtained through a course directly. For such corrections, they need explicit "Staff pool" access rights. Once a correction request has been confirmed, the originating course can no longer be edited.
-
If you select the warning about an unfulfilled previous period, a red exclamation mark appears on the certification tile. You can adapt the on-hover text in the system text "UnfulfilledCertificationPreviousPeriod".
-
The "Staff pool" filter under "My staff" is not the "Staff pool" function. Certifications are assigned in the "Staff pool" function.
