On-the-job training is used to support development activities that take place directly in the workplace between a trainee (staff member) and an experienced individual (mentor). Training mostly consists of practical exercises that must be completed by the staff member according to the specified details and, if necessary, with personal instruction from the mentor. If required, the mentor reviews
The on-the-job training template can be used to set description information and authorisations for the training. Required on-the-job training tasks are assigned to the template. If a new on-the-job training session is created, this is done using the on-the-job training template in which features of the on-the-job training are specified.
On-the-job training sessions can be created directly by supervisors (via the "My employees" navigation button) or HR managers (via the "employees" navigation button) for selected employees. In addition to selecting the template to be used, the time of the training and the user assuming the role of mentor are also determined. Using such on-the-job training sessions created by employees and mentors requires the use of the "imc Learning Portal".
On-the-job training templates can also be assigned to the course syllabus. In this case, when the course is started, the training based on the template is generated automatically. If the training is only available during a specific period within the course, this period can be defined via scheduling on the syllabus tab. Via a checkbox on the tutor tab, the tutors authorised to supervise on-the-job training sessions for course participants are determined. The tutors gain access to the training via the course instruction. The use of such on-the-job training sessions created by participants and tutors is also supported via the "imc Learning Portal".
To use this function, the "On-the-job training templates" navigation item needs to be configured.
Functions of the On-the-job Training Templates Manager
New
As well as description information, the following authorisations can be applied in the on-the-job training template:
Staff members can mark exercises as complete: Whether a staff member can mark tasks as done can either be determined globally for all tasks of a training module or individually for a single task. Regardless, the mentor is always authorised to do so. The following options are available:
Allowed for All Tasks
If this setting is activated, the staff member sees a button for each exercise that must be clicked to mark that exercise as complete. If the exercise requires assessment by the mentor, a status of "Being assessed" is applied to the exercise. Otherwise, a status of "Complete" is applied to the exercise.
Not Allowed for Any Task
If this setting is activated, the staff member is unable to mark tasks of the training module as done. Tasks that require evaluation can then be immediately evaluated by the mentor (based on the "pending" status). For such training modules, the "in review" status is not used.
Task-specific
If this setting is activated, the staff member can mark a task as done only if the option is set for the respective task.
Enable Group Work
The checkbox allows specification of whether the on-the-job training template can be used for group work. When activated and the template is assigned to a course, multiple participants can collaborate on assigned tasks and submit a joint result.
Allow learners to select mentor
This enables a mentor selection step to be added to the learner’s OJT view for courses using this template. This setting is not available for group work.
Focus on Tasks
This option hides the details tab and the description pop-up to allow focus on the tasks.
Enable Task Expanding on Load
Defines whether the OJT task should be expanded on load and always remain expanded.
Completion by Progress
If this setting is active, the on-the-job training is completed when every task has been marked as passed. The training state cannot be changed once it has been passed or failed by progress.
Allow Rating
This setting can be activated to allow staff members to rate the training with stars. Comments can also be entered with the rating.
Staff Members can Conclude On-the-job Training
This option enables the staff member to conclude the training independently by clicking the relevant button in the training. A status of "Passed" is then assigned to the training. The mentor can conclude a training at any time and can select the status of either "Passed" or "Failed".
